Program Coordinator

Johns Hopkins SAIS seeks a Program Coordinator to support its executive education program. The SAIS Executive Education program leverages the school’s world-class faculty and long tradition of excellence in interdisciplinary policy research and teaching at its 555 Penn Avenue strategic location and state-of-the-art facilities to provide mid-level professionals and senior executives in government, the corporate sector, non-governmental and multilateral organizations with transformative reskilling and upskilling educational opportunities to make a difference in their fields. Reporting to the Director of Executive Education Operations, the coordinator will work closely with other support staff and partners to run the traditional open enrollment and custom programs of the SAIS executive education program, including the Rising Leaders series in the SAIS executive education program.

The coordinator will have a range of administrative, operational, and programmatic responsibilities, including supporting the program through events and meeting planning, curriculum development, and facilitating other relevant activities.

The coordinator will play a key role in maintaining the programs through proper reporting, monitoring, and review of program requirements. When applicable, the coordinator will also assist in grant/government proposal writing, renewal of the programs, and potential establishment of new programs.

Specific Duties & Responsibilities

60% — Manage program events and logistics, including

  • Managing end-to-end events planning and logistics.
  • Identifying and securing guest speakers.
  • Researching potential programming.
  • Managing and coordinating travel arrangements for fellows and others involved.
  • Providing participant and on-site program support (e.g., catering).
  • Tracking expenditures and reconciling financial records.
  • Assisting with program renewals when applicable.
  • Assisting with creating semi-annual and end-of-year reports on the progress of the program.
  • Responding to inquiries regarding the program.

20% — Curriculum and program planning and assessment, including

  • Supporting the preparation and implementation of program curriculum.
  • Assisting with monitoring and evaluation to ensure program standards and goals are met.
  • Establishing tools to aid in data analysis and reporting on outcomes.
  • Advising participants prior to, and during, their residency.
  • Supporting design and implementation of program alumni activities.

15% — Budgeting, including

  • Managing and processing invoices.
  • Processing and submitting program reimbursements through Wide-Area Workflow system (WAWF).
  • Assisting with balancing the budget annually.

5% — General Administrative Support, including

  • Providing general administrative support to the director and relevant stakeholders in the executive education program.
  • Scheduling meetings.
  • Supervising temp staff and student workers—as needed.
  • Other duties as assigned.

Minimum Qualifications

  • High School Diploma or graduation equivalent.
  • Five years progressively responsible related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
  • Events management and program planning experience.
  • Previous experience with grants or contract management and budgeting highly favored.
  • Experience working in a university setting.

  • Exceptional administrative and organizational skills to work effectively in a dynamic, deadline-oriented environment that requires balancing multiple assignments simultaneously daily.
  • Ability to prioritize and move between different and varied tasks.
  • Excellent oral and written communication skills and attention to detail.
  • Ability to interact effectively with individuals from diverse cultures.
  • Proficient in Microsoft Office (including Excel), and able to easily learn JHU-specific software.
