Program Services Manager

The Program Services Manager handles all of the administrative, financial, customer support, and general support tasks, as well as the membership databases and registration processes, for APPAM, NTA, and ASHEcon (see below for descriptions of each organization). This role does not have direct reports.

This is a largely work from home position, though the successful applicant would need to come into the office in DC each Tuesday for meetings and other in person administrative tasks.

Finances and Administration

  • Purchase and maintain office and conference supply inventory
  • Check & distribute mail once a week, scan, deposit, and update invoices the same day
  • Created and process renewal invoices for membership, sponsorship, registration, and other ad-hoc needs
  • Review, approve, and pay organization bills & invoices, currently using BILL.com
  • Run, code, and share the monthly credit card, Memberclicks, and I4A transaction reports with the part-time accountant
  • Act as staff liaison for the APPAM Membership Committee. Ensure quarterly meetings are being scheduled and the annual task list is being followed
  • Main point of contact for APPAM email accounts – info, registration, and membership. Emails should be responded to and/or forwarded to the appropriate party within 24-business hours
  • Manage APPAM Call for Volunteers program. Partner with Communications Manager and various assigned staff members on Cognito form updates, opening & closing dates, recruitment, outreach, training, and act as onsite volunteer liaison
  • Ensure the NTA and ASHEcon invoices are correct, with respect to what APPAM is owed

Membership Database and Job Board Management

  • Maintain, pull, and clean data for monthly membership reports; create and review reports with staff and committees once a quarter
  • Update member profiles as needed. Ensure mail and email addresses are up to date and share requested contact lists with the appropriate team members for email, marketing, and journal needs for the three organizations
  • Track ASHEcon and APPAM job board financials through MemberClicks every month
  • Review & approve listserv posts before they’re published on the membership database
  • Act as main point of contact for all membership inquiries, from staff, leadership, members, potential members, event attendees, and vendors

Registration and Event Support

  • Create registration forms and manage overall registration process, both pre-event, onsite, and post-event for all annual conferences, symposia, and one-off events for all three organizations. Partner with the program manager for annual registration rates and specific needs for each event that requires registration
  • Audit speaker, sponsor, and discount code registration for all conferences and events. Ensure all required participants are registered, have a name badge, and know how to check-in upon arrival
  • Create and manage the badge design and printing process for all three organizations
  • Create and maintain weekly registration reports for all events, provide requested stats at staff meetings and for post-conference reports
  • Generate invitation letters and proof of attendance for attendees, as requested
  • Act as main point of contact for all registration inquiries, from staff, leadership, attendees, and vendors

REQUIREMENTS

  • Located in the Washington DC area, required
  • One to two years of association experience, preferred
  • Open to travel a few times per year, required
  • Experience in existing organization software systems, Microsoft, Confex, MemberClicks, American Eagle, Constant Contact, Zoom, and Slack, preferred
  • Interest in public policy, preferred
  • Excellent oral and written communication skills; particularly in web content creation
  • Excellent technical skills, including a familiarity with HTML and web design/layout
  • An ability to synthesize complex policy issues into succinct, easy to read copy for a varied audience
  • Creativity, especially creativity in introducing new communication channels to engage members
  • Must be a savvy social media user and have a good working knowledge of how web and social media analytics work
  • Exhibit great attention to detail with excellent organization skills
  • Have the ability to manage timelines, team members, and be adaptable to change
  • Be able to work independently and meet deadlines
  • Be a proactive, take charge person. APPAM has a small staff of eight and every employee needs to take full ownership of their role

The Association for Public Policy Analysis and Management (APPAM) is a leading professional association for the public policy research field. The 3,200 individual members of APPAM include academics, practitioners, and students. The 100 institutional members of APPAM include graduate and undergraduate schools of public policy and management, and many leading policy research organizations and think tanks. ASHEcon provides a forum for emerging ideas and empirical results of health economics research. The major activity through which ASHEcon achieves its mission is conducting a meeting in the US. ASHEcon is governed by a Board of Directors comprised of a highly distinguished group of health economists from all parts of the United States Since 2017, ASHEcon operations are managed by APPAM.
